The story

The late arrival stopped being a night-shift emergency.

A coastal hotel received the same calls after reception slowed down: a delayed guest needed the garage entrance, another wanted the late check-in steps, and a family asked whether breakfast could wait for the morning ferry. The answers existed, but they were spread across handover notes and the receptionist's memory.

The hotel moved those approved facts into SayTrue. The agent now answers routine guest questions in the configured language, follows the property's after-hours rules, and records anything that needs the duty manager. Reception starts the next shift with the transcript and request instead of reconstructing a voicemail.

The guest still hears the hotel's own policy, not a generic travel answer. Each exception arrives with the stay details and original question, so the duty manager decides once. The team can then review missed questions and turn the recurring ones into approved entries before the next late arrival.

How the hotel sets it up

  1. Write the guest essentialsCheck-in, parking, breakfast, pets, wellness access and house rules become approved Q&A entries.
  2. Separate routine from duty callsComplaints, locked-out guests and other exceptions route to the duty team; ordinary questions stay autonomous.
  3. Set reception hoursTransfers happen only while someone is available. Outside those hours, the agent records a realistic next step.
  4. Call as an awkward guestTest late arrivals, missing facts and a complaint before publishing the same setup to live calls.

A small approved set is enough to make the first useful call predictable.

Book a demo

What buyers in this trade ask us

Does it work with our PMS and booking engine?

Availability and reservation state can reach the agent two ways: read-only API connectors for live lookups, or scheduled dynamic entries that expire on time. Which fits depends on your systems — bring your PMS name to the demo call and we'll tell you honestly what connects and what doesn't.

What happens with a complaint or an angry guest?

Complaints are exactly what the agent should not improvise on. Those entries are classed for handover — during working hours the call transfers to your duty manager with context; at night the complaint is recorded verbatim and flagged for the morning shift.

Can it take reservations?

It answers reservation questions from your knowledge and can check what you expose read-only; it does not write into your PMS. Booking remains in your engine or with your staff — the agent captures the request and hands it over cleanly.

How fast can this run before the season?

The knowledge base is the long pole: the builder drafts entries from your website, your team approves, and a real test call gates go-live. Start with the twenty questions your desk answers most and grow from the gap report.
